Scan and Archive a Paper Document — Workflow

4–6 minutes · For businesss

Phone-scanned receipts, invoices and contracts arrive as a folder of JPGs in landscape and portrait, in the wrong order, sometimes upside down, often huge. Turning that into a single archival PDF is a four-tool job — and one that has no business being uploaded to a free converter that may keep the file.

This workflow stitches scanned images into a clean PDF, fixes orientation, extracts text for searchability, and compresses to a sensible archive size.

The 4-step workflow

  1. JPG to PDF

Combine your scanned JPG/PNG pages into one PDF.

  2. PDF Page Rotator

Rotate any pages that scanned in the wrong orientation.

  3. PDF to Text

Extract the text layer for searchable archives or OCR pre-processing.

Why: Even a separate .txt sidecar makes the archive grep-able.

  4. Compress PDF

Compress to a target size (typically 500 KB–2 MB for archived receipts).

Every step runs in your browser — no upload, no signup.

When to use this workflow

  • Digitising a year of paper receipts for tax filing
  • Archiving a signed contract you only have a hard copy of
  • Building a searchable PDF library from a stack of scanned manuals
  • Converting handwritten meeting notes into a backed-up PDF

Frequently asked questions

Will the text be searchable?

The pdf-to-text step extracts the text layer if one exists. Phone-scanned images don't have a text layer by default — for true OCR on photos, you need an OCR step before merging. If your scanner app already produced a searchable PDF, this workflow preserves that layer through compression.

What size should I target?

For long-term archives, 100–300 KB per page is a sweet spot: small enough to back up cheaply, sharp enough to read on a tablet. Tax records and legal documents are often required at 200 DPI minimum — check your jurisdiction's rules.

Is the workflow GDPR-safe?

Yes — nothing is uploaded, nothing is stored on a server, and there is no third-party processor involved. The archived PDF lives only on your device until you choose where to back it up.
